Associate Event Producer - San Francisco CA
Associate Event Producer to join our event production team where you will interface with the GPJ team, agency partners and suppliers. You’ll be responsible for supporting the production and management of exhibit work for our fastest growing client.
This exciting position is based in our San Francisco office with an expanded and growing team in New York and Boston.

About the Position
In this fast-paced position, you will collaborate with other Producers and Technical Directors as well as colleagues on the creative and account services teams. You will provide support in the form of process and project management, including managing timelines and budget, researching information, communicating with stakeholders, managing the on-site production kit and providing assistance as needed to meet and exceed the needs of GPJ clients/prospects. This is a client facing role and will require approximately 25-30% travel.
What You Will Do
Develop client relationships
Deliver Tier 1 Partner and Industry activations for our client, across North America
Manage the day to day budget and operations of specific project(s)
Develop and manage timelines and critical path management
Coordinate communications, touch points, and processes with internal departments and services to bring the event to successful execution
Develop and manage event budget throughout event life cycle
Drive and track cost management and efficiency through negotiation and strategic buying, cost saving and cost avoidance
Understand the strategic and creative requirements and objectives of the event and collaborate with account leads to ensure it is on point
Manage floor plans, meeting rooms, décor, branding and signage
Insure AV requirements are in line with creative and event brief
Work with our live production and digital production team
Coordinate graphics project management & production
Manage F&B, security, registration, event staff
Source, manage and communicate with 3rd party suppliers and vendors
Oversee the onsite execution of the event and responsible for post event deliverables
Audit the status of the event, to ensure its on track with account lead
Who You Are and What You’ve Already Done
College Degree and 4+ years of experience in a fast-paced environment, preferably in an agency setting
Out of this world organization skills, including the ability to juggle multiple responsibilities with conflicting deadlines
Ability to builds budgets/estimates, manage and reconciles budgets and can direct or guide others to build, manage and reconcile budgets
Able to lead and inspire a high performing kickass team (e.g., high trust, committed, effective conflict management, focus on accountability and results
Understands and effectively manages key financial metrics for key areas / scope with limited guidance
Experience and confidence engaging and building respected, trusted peer-to-peer relationships with clients
Excellent communication skills, both written and verbal
Exceptional people skills
May help mentor / teach others on Event team
Understands on-site methodology, practices and requirements, as well as show and venue rules and regulations (if applicable)
Strong proficiency in Microsoft Office software including PPT, Word, Excel, Outlook. Previous experience with ERP, Project Management software, or similar tool is preferred
