Volunteer Manager for Museum- Oakland CA

OMCA is working towards an institution-wide, multi-role volunteer program that will enable the organization to expand program offerings, advance departmental goals, and create institution-wide staff capacity with the help of trained volunteers that can support the institution in a wide variety of roles. Position will work with key stakeholders from across the institution to develop opportunities that will attract and engage diverse community members in a spirit of equity and inclusion and that will reinforce the institution’s commitment to financial sustainability and fostering social cohesion among OMCA’s audience, neighbors, and supporters.

 

The Volunteer Manager oversees the effective management and coordination of a large volunteer corps, including those who engage audiences in our galleries, as part of Museum programs on and offsite, ambassadors who provide welcome and wayfinding services, and general administrative volunteers. The Volunteer Manager oversees all administrative, managerial, and performance-based aspects of the volunteer program, ensuring the highest standards of excellence in customer service. The Volunteer Manager ensures the Museum has enough volunteers to fulfill its service mission, that they are deployed to service institutional goals, that they are effective ambassadors for the organization, and that they are reflective of the diversity of our visitors and the surrounding community. The position also collaborates with other departments to secure volunteers as needed for exhibitions, education, administration, corporate relations, board, community engagement and more.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES

INSTITUTIONAL RESPONSIBILITIES

  • Support the Museum’s mission, values, vision, and core commitment to the visitor experience, community engagement, and institutional relevancy for the future;

  • Contribute to and support the OMCA strategic plan, annual priorities, and institutional initiatives such as diversity advancement;

POSITION DUTIES AND RESPONSIBILITIES

Administration & Strategy

  • With key stakeholders, assess the opportunities related to volunteerism and design a comprehensive approach to attracting, engaging, evaluating, and recognizing a large, institution-wide, multi-role volunteer program

  • Organize and administer the overall strategy design and operations of the volunteer department

  • In collaboration with Human Resources, develop and document all policies and procedures relevant to volunteer operations in alignment with OMCA’s institutional policies

  • Assemble and analyze relevant data, and prepare and deliver weekly, monthly, and other reports as requested, detailing volunteer activities

  • Partner with other department managers to assess volunteer needs and deploy accordingly

  • Develop and maintain budgets in alignment with goals

  • Stay abreast of industry standards and best practice

  • Participate in museum-wide task forces, project committees, including for exhibitions and programs on an as-needed basis

  • Provide information for the preparation of grant proposals and evaluation activities

 

Recruitment & Training

  • Partner with internal stakeholders to plan institutional volunteer needs annually

  • Ensure volunteers receive appropriate ongoing training

  • Utilize best practice recruitment strategies to engage a diverse and committed volunteer pool

 

Supervision & Customer Service

  • Recruit, supervise, coach and train staff, volunteers and the Volunteer Coordinator

  • Oversee the development and coordination of all volunteer-specific training and ongoing education programs for the volunteers and departmental staff; mentor, coach, and develop team

  • Oversee volunteer recognition and rewards activities

Qualifications

EXPERIENCE

A level of experience that demonstrates possession of the necessary knowledge and abilities for this position is required as noted:

  • Ability to think strategically, deliver results, facilitate and influence others and problem solve beyond temporary solutions

  • 5-7 years experience leading a volunteer program with demonstrated track record of increasing levels of responsibility

  • Ability to establish and maintain working relationships with staff, volunteers, and members of the public; exercise tact and diplomacy at all times; demonstrate an understanding of protocol and sensitivity to cultural diversity needs

  • Ability to motivate a diverse group of volunteers, providing consistent, equitable, and ongoing recognition for their service, and highlighting volunteer contributions to the OMCA staff

  • Demonstrated ability to manage a program through change with empathy

  • Recruiting, training, supervising and evaluating new volunteers

  • Tracking volunteer hours and using the data to create reports

  • Developing program goals and policies

  • Managing a budget for a volunteer department

  • Collaborating with cross-functional teams

  • Proficiency with volunteer software and/or database management

  • Creating handbooks, training manuals and other program materials

  • Working knowledge of computer systems and applications with proficiency in PowerPoint, Excel, Google Suite, Word; database systems

 

WORK ENVIRONMENT

While performing the duties of this position, the employee is frequently exposed to the following:

  • Noise, such as groups of people working in enclosed areas

  • Typical office environment  

  • Working nights and weekends may be required
